Purpose

Supervise Office Clerks, work cooperatively on events with the Outreach Coordinator, and offer general support to all daily functions of the Unitrans Business Office.

Duties

  1. Supervise Office Clerks

    1. Ensure all Office Clerk tasks are completed thoroughly and in a timely fashion – passenger data entry, pass sales, customer calls, and email replies.

    2. Ensure that all shifts are covered – this includes scheduling shift selections at the beginning of each quarter/finals/break, and helping the OCs switch shifts and get shifts covered as needed throughout the quarter.

    3. Keep Office Clerk materials up to date – this includes Daily Checklists and OC resources such as the OC manual, phone lists, cheat sheets, and notices for service changes/special service.

    4. Hire and train Office Clerks– evaluate number of office clerks needed each quarter and hire and train as necessary.

    5. Change voicemail and make sure it is up to date.

    6. Oversee the lost and found and ensure the appropriate procedures are being followed.

  2. Maintain office equipment

    1. Keep inventory of office supplies and order as necessary.

    2. Keep inventory of printer paper and order as necessary.

  3. File Paperwork

    1. Keep organized files of all Office Clerk paperwork, Service Interruption Reports, and Supply Order Forms.

  4. Attend and Hold Meetings

    1. Hold meetings to keep the Office Clerk staff up to date on announcements.

    2. Attend a Managers Meeting once a week and keep detailed notes about announcements to send out to all the managers after the meeting.

    3. Attend a Unitrans Mandatory Meeting once a quarter to listen to announcements, introduce new office staff and hand out awards.

  5. Assist with Outreach

    1. Work as a team with the Outreach Coordinator to plan logistics of events

    2. Staff the event with Office Clerks, PAs, or other willing Unitrans employees

    3. Work with the Marketing manager to ensure outreach supplies are fully stocked

As part of your employment, you are required to subscribe to the ASUCD newsletter.

Skills

  1. MUST have previously worked as a Unitrans Office Clerk.

  2. MUST be able to commit to working summers, breaks, and training your replacement.

  3. Must be available to start training immediately

  4. Ability to effectively interact with individuals with diverse backgrounds, skills and abilities

  5. Able to communicate well with superiors, equals, and those under supervision

  6. Ability to exercise a high degree of independent responsibility, motivation, and problem-solving skills

  7. Adequate knowledge and use of Microsoft suites

  8. Ability to remain proactive and accountable for weekly, monthly, and quarterly duties

  9. Ability to answer relevant CSFs in a friendly, professional, and informative matter
